Job Description Job Title: Clinical Training and Administrative
Assistant Reports To: PhD Director and Associate Director of
Clinical Training Status: Full-time, Exempt Location: Palo Alto,
California The Clinical Training and Office Assistant oversees and
assists with the administrative support of faculty students, staff
and external clinical agency representatives in matters related to
clinical internship and clinical practicum opportunities to ensure
the efficient operation of the PhD program. This position also
supports day-to-day operations of the PhD program. Specific Duties
and Responsibilities Create, update, process, and track student
documents (e.g., student evaluation forms, DocuSign, practicum
contracts, internship documents, graduation requirements)
Communicate and coordinate with students, faculty, staff, and
administration regarding deadlines, events, documentation, and
appointments Maintain and update Clinical Training Webpage content
Create, maintain, and update student information and instruction
documents Troubleshoot and problem-solve student, faculty, and
staff problems accessing DocuSign forms, using Time2Track,
understanding policy, and/or completing documentation Complete
office administration tasks, such as preparing staff meeting
agenda, maintaining office calendar, documenting office policies
and procedures, and ordering office supplies Develop annual
internship match report Coordinate annual PAVA screening process
Manage and accurately update databases Accurately manage supervisor
account and data for Time2Track system Process invoices and
reimbursements Oversee work-study student tasks Other duties as
assigned Essential Qualifications Bachelor---s degree required
Minimum of three years of related administrative experience Proven
proficiency in Microsoft Word, Excel, Google Workspace, and
DocuSign Learning Management System experience Excellent
organizational skills Project and event planning/coordination
skills Customer service skills Knowledge of graduate education
program operations and experience in Higher Education strongly
